1. Purpose

This Customer Know Your Customer (KYC) and Electronic Know Your Customer (eKYC) Policy describes the customer identification, verification, and record management procedures followed by ServerSage CloudTech Pvt. Ltd. ("ServerSage") to protect its infrastructure, prevent fraud, comply with applicable legal obligations, and ensure secure service delivery.

This Policy applies to all customers, resellers, partners, and authorized representatives purchasing or managing ServerSage services.

2. Scope

This Policy applies to:

  • Individual Customers
  • Proprietorship Firms
  • Partnership Firms
  • LLPs
  • Private Limited Companies
  • Public Limited Companies
  • Trusts
  • NGOs
  • Government Organizations
  • Educational Institutions
  • Channel Partners
  • Resellers
  • Distributors

3. Why KYC is Required

ServerSage may perform KYC/eKYC to:

  • Verify customer identity
  • Prevent fraud and identity theft
  • Protect shared infrastructure
  • Comply with contractual and legal obligations
  • Reduce abuse of hosting services
  • Detect fake accounts
  • Support incident investigations
  • Ensure secure provisioning
  • Maintain accurate customer records

4. Services Requiring Verification

ServerSage may require KYC before provisioning or renewing services including:

  • VPS Hosting
  • Dedicated Servers
  • GPU Servers
  • Tally on Cloud
  • Business Email Hosting
  • Backup Services
  • Disaster Recovery
  • Managed Services
  • Colocation
  • Microsoft 365
  • Google Workspace
  • SSL Certificates (where applicable)
  • Domain Registration (where applicable)

Verification requirements may vary depending on service type, risk profile, payment method, or applicable legal obligations.

5. Individual Customer Verification

Individual customers may be asked to provide:

  • Full Name
  • Mobile Number
  • Email Address
  • Permanent Address
  • PAN
  • Aadhaar verification through legally authorized mechanisms
  • Government-issued identity document
  • Selfie or liveness verification (where implemented)
  • Additional documents where reasonably required

6. Business Customer Verification

Business customers may be requested to provide:

  • Company Name
  • Registered Office Address
  • CIN (if applicable)
  • GSTIN
  • PAN
  • Certificate of Incorporation or Registration
  • Partnership Deed / LLP Agreement (where applicable)
  • Authorized Signatory Details
  • Board Resolution or Authorization Letter (if required)
  • Official Business Email Address

7. Reseller Verification

Resellers may be required to submit:

  • Business Registration Documents
  • PAN
  • GST Registration
  • Bank Account Details (where applicable)
  • Authorized Contact Information
  • Identity documents of authorized representatives

Resellers remain responsible for the accuracy of customer information submitted through their accounts.

8. PAN Verification

ServerSage may verify PAN information for identity confirmation, billing, taxation, and fraud prevention purposes.

Customers are responsible for ensuring that PAN information submitted is accurate and belongs to the person or organization entering into the service agreement.

9. Aadhaar Verification

Where permitted by law, ServerSage may facilitate Aadhaar-based verification through legally authorized verification mechanisms.

ServerSage does not require customers to send Aadhaar numbers, images, or copies through unsecured channels such as ordinary email or chat.

Where customer consent is required by law, such consent will be obtained before initiating Aadhaar-based verification.

10. Additional Verification

Depending on the nature of the services requested, ServerSage may request additional documentation, including:

  • Address Proof
  • Utility Bill
  • Bank Statement
  • Import Export Code (IEC)
  • MSME Registration
  • Professional Licenses
  • Regulatory Approvals

11. Verification Failure

ServerSage may:

  • Request additional documentation
  • Delay provisioning
  • Reject applications
  • Suspend pending activations
  • Restrict access to certain services

where verification cannot be satisfactorily completed or submitted information appears inaccurate, incomplete, or fraudulent.

12. Periodic Re-verification

ServerSage may request updated KYC information where:

  • Customer information changes
  • Ownership changes
  • Regulatory requirements change
  • Fraud indicators are identified
  • Long-term inactive accounts are reactivated

13. Data Protection

KYC information is processed in accordance with the ServerSage Privacy Policy and applicable Indian laws.

Reasonable administrative, technical, and physical safeguards are implemented to protect customer information.

14. Data Retention

KYC records may be retained for as long as reasonably necessary to:

  • Provide services
  • Meet legal obligations
  • Resolve disputes
  • Support investigations
  • Maintain audit records

Retention periods may be extended where required by applicable law or ongoing legal proceedings.

15. Customer Responsibilities

Customers shall:

  • Provide accurate information
  • Promptly update changed information
  • Cooperate with verification requests
  • Ensure submitted documents are genuine
  • Notify ServerSage of material changes affecting account ownership or authority

16. Fraud Prevention

ServerSage may employ reasonable measures to detect and prevent fraudulent account creation or misuse of services, including identity verification, risk assessments, and review of unusual account activity.

Where fraud is reasonably suspected, ServerSage may suspend or terminate services and cooperate with lawful requests from competent authorities.

17. Policy Updates

This Policy may be revised periodically to reflect changes in applicable laws, technology, business operations, or security practices.

Updated versions will be published on the ServerSage website with a revised effective date.

19. Governing Law

This Policy shall be governed by the laws of India.

Any disputes relating to this Policy shall be subject to the exclusive jurisdiction of the competent courts located in Mumbai, Maharashtra, unless otherwise required by applicable law.
